Methodology
Cost per meeting is derived the same way for every row:
- Outbound SDR: fully loaded cost (salary + tooling + ramp) ÷ meetings booked per month.
- Paid demand gen: media spend ÷ meetings attributed.
- Events: booth + travel + staff ÷ meetings held.
- Outsourced SDR: retainer ÷ meetings delivered.
- Warm introduction: fee per completed meeting.
The ranges include direct, attributable cost only. They exclude management overhead, CRM and data platform licences amortised across teams, and any post-meeting sales effort. A booked meeting is not a held meeting: no-show rates of 20–40% are ordinary in outbound and move every number on this page upward when you re-base on meetings actually held. Warm-introduction rows are billed on completed meetings, so they are already on the stricter basis.
What the ranges don't capture
Seniority of the target changes the economics more than channel does — a VP is not a C-level buyer, and the gap widens outside your home market. Sustained cold outreach burns sending-domain reputation, a cost that shows up months later in someone else's campaign. A founder's hour spent in a low-quality meeting has an opportunity cost no spreadsheet books. And a relationship that produces one introduction this quarter often produces three next year, which per-meeting arithmetic never sees.

What is a good cost per meeting for outbound?
For an in-house SDR team selling into mid-market and enterprise, anything under about $800 per booked meeting fully loaded is healthy, $800–$1,400 is typical, and above $1,600 usually means either booking productivity is below 8–10 meetings a month per rep or the target list is too senior for cold outreach to work. Compare on fully loaded cost — salary alone understates the real number by 25–35%.
Is a warm introduction cheaper than outbound?
Honestly: per meeting it is often not cheaper once you are reaching for a genuine decision-maker in a market you do not operate in — a warm intro to a C-level buyer in the Gulf can cost more than an SDR-booked meeting in your home market. Per closed deal it usually is. Warm introductions convert to opportunity at a far higher rate than cold outreach, so a channel that costs 2x per meeting but converts 5x is cheaper per deal. Run the arithmetic on cost per closed deal, not cost per meeting, before deciding.
How do you calculate cost per meeting?
Take all direct cost attributable to the channel over a period, then divide by the number of meetings that channel produced in the same period. For in-house SDRs that means salary plus commission, tooling, data, and the cost of ramp time, divided by meetings booked per month. For agencies it is the retainer divided by meetings delivered; for events, total event cost divided by meetings held; for paid, media spend divided by meetings attributed. Then re-run it on meetings actually held rather than booked — that second number is the one worth managing.
